GDS Data Customization
BookingBuilder Desktop allows you to customize many aspects of its GDS interaction. It can read email addresses and frequent flyer numbers from custom places, the entire confirmation process can be customized, how fare quotes are documented can be customized, and even custom data fields can be read from the GDS and entered into custom locations of supplier web sites.
This document will briefly describe each area that can be customized and let you know what information we require to configure the customizations for you. You are welcom to log in to the Configuration Website and change the options yourself, but it will be a short time until we have detailed documentation on how to do that.
We are happy to handle this configuration for you, with no additional charges. Just let us know what you need done, and we'll take care of it.
Booking Confirmations
Whenever you complete a booking on a supported supplier site, BookingBuilder Desktop captures the booking details. From those details, it can sell passive segments, non-air segments, enter remarks, etc.
It can enter associated and unassociated itinerary remarks, UDIDs, sort lines, accounting lines, and other data required for your front- and back-office systems. We suggest you complete a booking on a site and have BookingBuilder Desktop enter the confirmation details. Once you have done that, review what it entered to see if there are changes or addtions you would like. Compile a complete list of the exact GDS entries you want it to make and email them to us at support@bookingbuilder.com. We will most likely ask some questions to clarify what you want and then update your settings. When you compile the list, keep these questions in mind:
- How would the entries vary for multiple passenger PNRs vs single passenger?
- Are the fare and accounting entries made once per passenger, with per-passenger prices, or just once per confirmation with total prices for all passengers?
- Do the entries vary by supplier, such as ARC vs. non-ARC? If so, make sure you let us know which suppliers get which entries.
- Are there data items that are specific to each supplier, such as the vendor codes in your accounting system? If so, we may ask you to enter that information for each supplier in the Configuration Website so it can be used in the customized GDS entries.
Frequent Flyer Numbers
GDSes have standard places for FF numbers, for some GDSes do not allow you use that area for FF numbers for non-participating airlines. In those cases, the FF numbers are typically entered into the remarks. BookingBuilder Desktop can read the FF numbers from these remarks and then enter them into the supplier websites.
It is always best if the format is consistent, such as "FF B6 123456" where FF is always there, B6 is the airline code, and 12345 is the FF number. If you have several formats, it's usually no problem -- BookingBuilder Desktop can look in several places to find the FF numbers.
In order to configure BookingBuilder Desktop to read your FF numbers, we need an example of the exact GDS entry used to display them and the exact response that shows them. We have set up a web page that gathers this data for us. Click here for that page. This should be done on a computer that has BookingBuilder Desktop installed. Once you have that page open, display a PNR with the FF numbers in the remarks, and follow the instructions on the web page. Once we get the data, we will ask any questions we need and then we will configure BookingBuilder Desktop to read your FF numbers.
Email Addresses
BookingBuilder Desktop will read email addresses from the standard GDS locations. However, you may put email addresses in the remarks or in another location. If you would like us to configure BookingBuilder Desktop to read these other email addresses, follow the instructions above to use the web page that will capture the GDS entry used to display the email addresses and the response.
Credit Card CVV
GDSes do not have standard places to store the Credit Card "Card Verification Value Code", typically known as CVV, but also called the CVV2, CVC2 or CID. BookingBuilder Desktop can read this from wherever you store it in your profiles. If you would like us to configure BookingBuilder Desktop to read this, follow the instructions above to use the web page that will capture the GDS entry used to display the email addresses and the response. Even if BookingBuilder Dekstop does not read this value, agents can easily enter it into the Profile Dialog, so there is a single, consistent place for it.
Fare Quote Documentation
When you document results from Instant Fare Quote, by default the data is just entered into the remarks. It can be completely customized, so the itinerary could be entered into printable remarks, the reason code can be placed in the sort line, UDID or other area required by your back office system, and information can even be put in more than one place, if required.
If you want to change how this information is entered into your PNRs, email the exact entries you want to us at support@bookingbuilder.com.
Custom GDS Data
BookingBuilder Desktop can read custom data from your PNRs, such as cost center codes and agent numbers, and enter that information into supplier websites. There are two steps required for this: We first have to configure BookingBuilder Desktop to read the custom data from your PNRs, then we also have to configure it to place that data in the right place in each web site.
The first step is to identify the GDS data you want us to read. Once you have done that, follow the instructions above to access our web page that will capture the entries used to display this data and their responses.
The second step is to access the supplier web sites where the data is to go. In each web site, go to the page that gets the data, then copy and paste the page into an email message, and send it to us at support@bookingbuilder.com. To quickly copy the entire page, press Control-A, and you will see the entire web page get selected; then press Control-C to copy it to the clipboard. Now open a new email message, click anywhere in the message area and press Control-V to paste in the web page.
Once we get this information, we can configure BookingBuilder Desktop for you.
